OVERVIEW OF THE POSITION

SCORE’s Executive Assistant will provide key administrative support to SCORE’s President/CEO and Senior Vice President of Strategy in order to advance the organization’s mission and work. Responsibilities for this role include scheduling meetings, managing calendars, preparing materials for meetings, and assisting with prioritization in line with goals. 

This role requires a great deal of flexibility and drive, the ability to manage multiple priorities, a positive team orientation, and a commitment to supporting the priorities and work of the organization and the Leadership Team. The Executive Assistant must be an independent thinker and proactive team member who is also able to work in close and productive collaboration with other SCORE colleagues and with partners external to the organization. The Executive Assistant will report to SCORE's President/CEO.

The State Collaborative on Reforming Education’s (SCORE) mission is to catalyze transformative change in Tennessee education so that all students can achieve success. SCORE is an independent, nonprofit, and nonpartisan institution, founded in 2009 by Senator Bill Frist, MD, former US Senate Majority Leader. Striving to be a durable partner and trusted adviser on Tennessee education, SCORE is focused on effectuating change for students from kindergarten to career through policy and practice–-and taking it to scale.

SCORE has three goals that guide the organization’s work to drive success for all students in Tennessee:

  • All students receive an excellent public K-12 education.
  • All students earn a credential or postsecondary degree of value that prepares them for a career enabling economic independence.
  • Economically disadvantaged students, students of color, and rural students see improved success across all goals relative to their peers.

SCORE is based at 1801 West End Avenue in Nashville and currently operates in a hybrid environment with a mix of in-person and remote work. KEY RESPONSIBILITIES

The Executive Assistant's key responsibilities include providing administrative support to the President/CEO and the Senior Vice President of Strategy. The administrative support can take many forms, including:

Managing schedules to maximize and prioritize the time of senior leadership, allowing for the biggest impact in executing the organization's mission.

  • Scheduling all meetings, sending calendar invitations, managing RSVPs for events, monitoring calendar conflicts and preparing for the following day/week.
  • Booking internal and external meetings in a way that manages the relative priority of a given request against the need to accommodate travel, work time, and prior commitments. 
  • Coordinating across multiple internal and external partners to set meetings, convenings, and events.
  • Coordinating travel logistics as needed.

Coordinating with SCORE colleagues and external partners to ensure effective collaboration and communication that reflects SCORE's core values.

  • Building close working relationships with support staff for other organizations and senior leaders in government, philanthropy, and education.
  • Coordinating with a peer Executive Assistant to ensure all of SCORE's Leadership Tam can most effectively work together.
  • Providing general support to visitors in the office who are meeting with members of SCORE's Leadership Team.
  • Developing and maintaining contact lists of key stakeholders and their support staff.

Preparing materials for meetings to ensure seamless logistics and impactful participation by SCORE's senior leaders

  • Preparing relevant materials, agendas, directions, and talking points as needed
  • Supporting quarterly board of director meetings by preparing materials, managing invitations, and tracking RSVPs.
  • Supporting SCORE leaders with thoughtful meeting follow up.
  • As needed and as capacity allows, providing additional communication and project support, such as drafting external communications, editing materials, and preparing presentation materials.

Preparing and submitting expense reports and tracking receipts

Tracking and submitting time-off requests

Any other duties assigned by those supported by the role.

IDEAL CANDIDATE REQUIREMENTS 

  • At least five years of professional experience, with demonstrated prior experience in providing executive assistant support to senior leaders.
  •  A service orientation toward work and a passion for providing strong executive support.
  • Commitment to SCORE's core values, with a particular willingness to do whatever it takes, be a team player, and problem solve toward solutions.
  • Demonstrated success in a role that requires a high level of flexibility and the ability to nimbly respond to shifting circumstances.
  • Strong organizational skills to meet deadlines, plan ahead, multi-task, and manage competing priorities with tight deadlines.
  • Ability to thrive in a fast-paced, mission-focused environment.
  • Excellent communication skills, both oral and written, with a variety of audiences.
  • Ability to handle sensitive information in a confidential manner.
  • A passion for effective communication, efficient work planning, and supporting others.
  • Demonstrated success in organizational coordination and administrative support. 
  • Proven experience managing multiple tasks simultaneously.
  • Proficiency across the Microsoft 365 suite of applications and the ability to learn new technology.
  • Ability to work occasional evenings, early mornings, and weekends as needed.
